Privacy Policy

The Royal Jamaica Yacht Club ("RJYC", "the Club", "we", "us", or "our") respects the privacy of its members, guests, customers, and staff. This Privacy Policy explains what personal information we collect, how we use and protect it, and the choices you have. It applies to our public website, our membership and marina operations, and the point-of-sale and accounting systems the Club uses to run its retail and consignment store and to keep its books — including our integration with Intuit QuickBooks Online.

Information we collect
Depending on how you interact with the Club, we may collect:
- Member and customer information — name, membership or account identifier, contact details, and the record of your purchases, consignment items, account charges, credits, and payments in the Club's store and dining venues.
- Transaction and accounting records — sale line items, amounts, applicable General Consumption Tax (GCT), balances owed, and payment records, kept as part of the Club's books.
- Staff account information — for employees who use the Club's internal systems, the name and email address used to sign in (via Google sign-in), and the actions taken in the system for audit purposes.
- Website information — limited technical information necessary to serve and secure our public website.
How we use your information
- To operate the Club and provide membership, marina, dining, retail, and consignment services.
- To process sales and consignment transactions, maintain member accounts and statements, and settle amounts owed to members and consignors.
- To keep accurate accounting records and meet our tax and record-keeping obligations under Jamaican law.
- To secure our systems, prevent fraud, and maintain an audit trail of financial activity.
- To communicate with you about your account, purchases, or membership.
QuickBooks Online integration
The Club uses Intuit QuickBooks Online as its accounting system. Our point-of-sale application connects to QuickBooks Online through Intuit's authorized API so that sales, invoices, payments, and related accounting entries recorded in the store are posted to the Club's books, and so that the Club's chart of accounts and customer records can be read for correct posting and reconciliation.
- A Club administrator authorizes the connection through Intuit's secure OAuth sign-in. The application never receives or stores your QuickBooks password.
- Access credentials (tokens) issued by Intuit are stored encrypted and are used only to post and reconcile the Club's own accounting data.
- The application accesses only the QuickBooks data needed for these accounting purposes. We do not sell QuickBooks data, and we do not use it for advertising.
- Intuit's own handling of information is governed by Intuit's privacy policy. Your use of QuickBooks Online is also subject to Intuit's terms.
How we share information
We do not sell your personal information. We share it only as needed to run the Club:
- Service providers that operate our systems — for example Intuit (QuickBooks Online), our email delivery provider, and our cloud hosting provider — who process data on our behalf under appropriate obligations.
- Professional advisors, such as the Club's accountants and auditors, in connection with the Club's books.
- Authorities, including Tax Administration Jamaica, where required by law or to meet our regulatory obligations.
Data security
We protect personal information with appropriate technical and organizational measures. These include encryption of data in transit (HTTPS), encryption of stored third-party credentials, role-based access controls that limit what each staff member can see and do, and audit logging of financial changes. No system can be guaranteed perfectly secure, but we work to protect your information and to respond promptly if an issue arises.
Data retention
We keep personal information for as long as needed to provide our services and to meet the Club's legal, accounting, and tax record-keeping obligations. Accounting records are retained for the periods required by Jamaican law. When information is no longer needed, we take steps to delete or de-identify it.
Where your information is processed
Some of our service providers, including our cloud hosting and accounting providers, store and process information on servers that may be located outside Jamaica (for example, in the United States). Where information is transferred internationally, we rely on reputable providers that apply appropriate safeguards.
Your choices and rights
You may ask us to access, correct, or delete personal information we hold about you, subject to records we are legally required to retain. To make a request, or to ask a question about this policy, contact us using the details below.
Children
Our services and website are intended for the Club's members, guests, and staff, and are not directed to children.
Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version here and revise the effective date above.
